In this user guide, you'll find step-by-step instructions for exporting time from Time by Wagepoint to QuickBooks Online. We'll walk you through the process of approving timesheets then seamlessly exporting (syncing) your timesheets to Quickbooks Online for payroll processing.
1. Navigate to the 'Timesheets' section in the left-hand menu, then select 'Run New Report'.
2. Within the Pending Timesheets Reports page, select the appropriate week, period, or date range from the Period dropdown menu. Ensure the selected dates align with the intended pay period, then click 'Run Report'.
3. After generating the report, you can review the accuracy of each individual timesheet by clicking the dropdown caret next to the employee's name. Check for any discrepancies, and if adjustments are necessary, click 'View' to make edits
4. After making all necessary edits or confirming there are no errors, check the checkbox next to each employee's timesheet that you are ready to approve. Then, select 'Approve'.
5. After approval, you will be automatically redirected to the 'Approved Timesheets' page, where you can view the recently approved timesheet. From here, you can further inspect the details or choose to unapprove it if necessary. Alternatively, you can click 'Export to QuickBooks' to seamlessly transfer all hours from Time by Wagepoint to your QuickBooks Online account, allowing you to proceed with payroll processing.
6. After successful export, the status will change from 'Approved' to 'Exported'.
7. To complete the payroll process, return to your QuickBooks Online account and navigate to Payroll > Overview.
8. In the shortcuts section, choose Run Payroll.
9. Choose a pay schedule for this pay run, then click 'Continue'
10. If available, choose the account in QuickBooks where you track payroll transactions. Then, verify that the pay period and pay date are correct. If needed, you can make changes by clicking on 'Pay date'.
11. You'll find a list of employees. If there's anyone you don't want to pay, simply uncheck their name. Salaried employees will be paid according to the information provided in your QuickBooks Online account, while hourly employees' pay is based on the imported hours from Time. Ensure all hours have been correctly imported, then click the green 'Preview Payroll' button at the bottom right of your screen.
12. For each employee, you'll see the total hours, gross pay, taxes withheld, and net pay. When you're ready, click 'Submit Payroll'.
13. After confirming that payroll is complete, you're all set.
