If you are making a transition to Wagepoint mid-quarter and you've also paid employees (active and terminated) to date, we require the following to ensure correct quarterly and yearly filings moving forward:
- Employee paystub information — Final paystub before the current quarter and every paystub paid to the employee during the current quarter.
Based on the data you enter, Wagepoint will automatically calculate the total year-to-date amount on your behalf.
1. Navigate the Employees > Select the employee > Prior Payroll tab.
- Note: The Prior Payroll tab will only appear if the employee has NOT been included in a payroll. Once they have been paid in Wagepoint, the Prior Payroll tab will no longer be shown for the employee.
Entering year-to-date information based on the last paystub issued to the employee in the prior quarter.
- Was this Employee paid in this period, Jan. 1 – [end date]?
- If you select "No", the employee's YTD wages and tax amounts will equal to 0.
- If you select "Yes", the option to add the last paystub issued will populate.
Adding employee information
- Click [+ Add last paystub issued on or before (end date)]
- Pay date — Use the calendar date picker to select the pay date.
- Last day of the pay cycle — Use the calendar date picker to select the last day of the pay cycle.
- Note:
- No two payrolls can have the same payroll cycle end date.
- If you selected a "Last day of the pay cycle" date that conflicts with a date that was previously established in payroll with Wagepoint, you may be prompted to submit a date that differs from your paystub information. Please know that making changes to the payroll cycle end date WILL NOT impact year-to-date or quarter-to-date reporting.
- Note:
- Earnings and hours — Enter the employee's YTD earnings and hours information as of [end date].
- Note:
- [+ Add Additional Income] — Add additional income types if needed. By clicking this, a modal will pop up to show types of incomes that have already been set up at a company level.
- Hours — This section is dependent on Income types. If you do not wish to include hours information, please put 0.
- Note:
- Tax withholdings - employee contribution — Enter the employee's YTD contributions as of [end date].
- Note:
- Medicare — If you paid additional medicare, be sure to enter the total paid.
- If your employee moved in the middle of a payroll cycle, you can add additional state and local taxes to reflect the change. Be sure to also update the state information within the employee's Tax info.
- Note:
- Benefits and deductions — If you have already set up deduction types for your company, click [+ Add deductions] and select the deductions you'd like to account for.
- Net pay — Enter the net pay as seen on the employee's paystub.
- Note: Wagepoint's system will automatically flag any errors in calculation to you. In the case that there is an error, a message will pop up indicating that the net pay does not match up to the entered values and propose a new total based on the values you provided.
- If you click "No, I'll review" — No changes will be made and you will be taken back to the previous page. Be sure to review all of the entered values by checking against the employee's paystub and make any changes necessary.
- If you click "OK" — This indicates that you accept the updated amount and you will be automatically taken to the next section (Employer taxes).
- Note: Wagepoint's system will automatically flag any errors in calculation to you. In the case that there is an error, a message will pop up indicating that the net pay does not match up to the entered values and propose a new total based on the values you provided.
Adding employer tax information
- Employer taxes — Enter the YTD tax withholdings amounts you paid as the employer for the specified pay date.
- Note:
- Social Security and Medicare are pre-populated to match the employee's contributions values entered previously.
- [+ Add local tax withholdings] — Add any local taxes as needed based on postal code.
- Note:
- Click "Save Paystub."
Entering current amounts based on all the pay stubs issued to the employee in the current quarter.
- Was this Employee paid in this period, [Quarter start date] – [Current date]? — If you select "No", the employee's YTD wages and tax amounts will equal to 0. If you select "Yes", the option to add paystubs will populate.
- Note: In this section, you can add as many pay stubs as needed.
- Enter the information as required based on the employee's current paystubs. Note: You'll notice that this section has a similar process to the one prior. The main distinction is that this section requires current amounts.
- Select "Save & continue."
- Enter the tax withholdings amounts you paid as the employer for the pay date of the specific paystub.
- Select "Save Paystub."
Unpaid tax withholdings
- A message will pop up regarding unpaid tax withholdings. If you would like Wagepoint to collect and remit unpaid federal and state unemployment taxes for the current quarter, be sure to email support@wagepoint.com.
- Click "Accept" to indicate that you've read and understood this message.
Prior payroll information
- The employee's prior payroll information will now be populated based on the paystub information you entered.
Note:
- Be sure to enter prior payroll amounts before you run your first payroll — users cannot enter these amounts after payroll has been processed for the employee. We also charge a $10 per employee fee to add or edit YTD and QTD amounts after the employee is paid through the app.
- Wagepoint assumes you have paid all prior taxes, except FUTA and SUTA contributions. Request a refund from your previous provider for FUTA and SUTA contributions so that Wagepoint can remit those taxes on your behalf. Learn more about switching payroll providers.
Terminated employees
- Be sure to also enter paystub information for terminated employees. The values you enter should be based on the last paystub issued to the employee before the current quarter.
- This information is required if you need W2 / 1099 forms are year-end. Note: minimum of two payrolls need to be processed within the calendar year for Wagepoint to prepare and submit W2/1099 forms on your behalf. See Terms of Use.
