Auto-run functionality allows employers to sit back and relax while their payrolls are processed automatically in the background.
Auto-run payrolls only work for clients who have all salaried employees. When we put your company on the auto-run processing list, the app goes through all the payroll steps (as if you were clicking through the payroll steps yourself), and the app automatically approves the payroll.
Criteria to enable auto-run functionality –
- A minimum of one payroll needs to be approved and finalized in order to establish payroll dates.
- All employees should be salaried and set to receive an annual rate of pay.
- If you have one-off payments to add to each payroll e.g. expense reimbursements are paid on every payroll but the amount varies each time, we don't recommend putting the specific paygroup on auto-run.
Enable auto-run payrolls
- Submit a request to firstname.lastname@example.org with the following information – company name, payroll frequency, the start date for auto-run (i.e. next pay date) and associated pay period dates – to enable auto-run payrolls for your company.
- Only company administrators can submit a request for auto-run to be enabled.
- You will be notified by email if your company meets the criteria and auto-run functionality is enabled. Please allow 1 - 2 working days for our support team to get back to you.
Process auto-run payrolls
- Payroll will automatically be approved and finalized four (4) business days prior to the pay date by 3 pm EST.
- Any payroll updates should be completed by the employer six (6) business days prior to the pay date by 3 pm EST. For e.g., if an employee needs to be paid a commission, the amount should be added to the employee's Income tab by 3 pm EST, six (6) business days prior to the pay date.
What does this mean for you?
The administrator is responsible for checking the accuracy of all the information and ensuring that all relevant employees are included or excluded from the payroll as needed. It means the onus of keeping track of all relevant actions still falls on the administrator – e.g. terminating an employee at the right time, after payroll is finalized and all outstanding wages were paid, or hiring an employee and ensuring they are included in the payroll, etc.
Key points to remember –
- During finalization, the company settings at the time will be applied. For e.g., if you disable direct deposit any time prior to auto-run, the app will automatically apply that setting when the auto-run is finalized.
The Pay toggle setting carries from payroll to payroll, which means that if you set it to No for any employee (while running an off-cycle/one-off bonus payment yourself), the toggle stays at that setting unless it is changed. The system looks at a change to the default setting as a higher priority action and does not make any changes until the user updates it again.
Disable auto-run payrolls
- Submit a request to email@example.com to disable auto-run payrolls for your company at least 2 working days prior to the processing deadline. It will ensure that our team has enough time to take your client off the list. Please allow 1 - 2 working days for our support team to get back to you.
- Only company administrators can submit a request for auto-run to be disabled.
- Note: you cannot “skip” a pay once set up with auto-run. You would need to request to stop auto-run, then request to be re-enrolled by submitting a new ticket to firstname.lastname@example.org with the required company details. If a NIL remittance is required, you are required to take care of it as Wagepoint does not file NIL remittances on your behalf.
