In the event a company must close their Wagepoint account, there are several steps a company should consider. Be sure to follow the instructions carefully as the steps required to close an account differ depending on your payroll set up and your reason for leaving. 1. Terminate employees and generate/submit ROEs to Service Canada
- If you have not yet signed the ROE SAT addendum, do this before you generate any ROEs. If you do not enable this feature, you’ll need to manually submit the ROEs to Service Canada outside of Wagepoint. You can access the ROE SAT addendum workflow by navigating to COMPANY > MORE > ROE SAT or following the instructions here.
- Terminate all employees and generate/submit the ROEs to Service Canada. Follow the steps in this article to terminate and generate an ROE. If you have signed the ROE SAT addendum, you’ll also be able to submit ROEs directly to Service Canada.
2. Follow the relevant instructions to arrange for Year-end forms and/or remittances:
- a. If you are moving to a new payroll provider and your business number is not changing,

- We recommend that you turn off auto-submit in Wagepoint and submit your forms via your new provider. Please double-check that your new provider will house year-to-date information, as you will need to move this information over.
- To turn off Auto-submit, navigate to Settings > Account settings. Scroll down, locate the Auto-submit tax forms toggle, and change it to “NO”. Then, click SAVE CHANGES to confirm your new settings.
- We recommend that you turn off auto-submit in Wagepoint and submit your forms via your new provider. Please double-check that your new provider will house year-to-date information, as you will need to move this information over.

- b. If you are closing your business,

- Since you are terminating your business, the CRA requires year-end forms to be submitted within 30 days of closing your CRA business number. If you request that we send T4s to the CRA, we will upload them to REPORTS > MORE > T4 FILES for you to review before they are sent to CRA.
- The CRA also requires remittances to be filed within 7 days.
- You must confirm that you would like Wagepoint to submit remittances and/or year-end forms by emailing our support team at support@wagepoint.com. We will not do this automatically.

- c. If you are selling your business,

- If you are closing your CRA number, confirm that you would like Wagepoint to submit remittances and/or year-end forms by emailing our support team at support@wagepoint.com. We will not do this automatically.
- Let the individual who purchased your business know that if they want to continue using Wagepoint as their payroll application then they would have to open up a new account.
- If the new owner is keeping the same CRA number and would like to continue to use Wagepoint, please reach out to us so we can set them up as an administrator on the Wagepoint account.

3. Review the following situations and determine if any are applicable to you:
- Do you have employees in Quebec? If yes, then create and submit RL1s to Revenu Quebec. Wagepoint cannot upload and submit RL1s mid-year to Revenu Quebec. You will need to create and submit them to RQ from outside of the system.
- Do you have Auto-run enabled on any of your pay groups? If yes, then confirm that you would like Wagepoint to remove Auto-run from your account by emailing support@wagepoint.com. We will not do this automatically.
- Are you connected to a bookkeeping or accounting firm? If yes, then reach out to your bookkeeper or accountant and ensure they disconnect from your account. Please be sure to alert the firm that you’d like them to disconnect you from their client list and delete all user accesses to your account.
- Are you connected to Track or Luna? If yes, then disconnect to stop future billing.
- Disconnect from Track: Log in, then using the EDIT feature under EMPLOYEE SET UP, change the toggle for TRACK USER back to NO. SAVE the change. This needs to be done for each employee. Then under ADD-ONS, click the TRACK icon and click DEACTIVATE.
- Disconnect from Luna: Log in, then click ADD-ONS in the top right corner, click the LUNA icon, and then click DEACTIVATE.
4. Download your reports to an external location
While your data will remain accessible in your Wagepoint account for a period of time after you close your account, we always recommend that you download your reports to an external location. This ensures that you have easy access to any records you’ll need in the future.
5. Close your account in Wagepoint
- When you disable your account, you will lose access to your account, so it is important to download any information you may need in the future.
- To complete the Close account process, go to Settings > Account Settings. Under the Close Account tab, click Close account.
- You do not need to disable any administrator accounts. There are no fees if you are not processing payroll.
- If you need to regain access to your account at any time in the future, you can reach out to Wagepoint support and we will help you regain access (as long as we are still storing your data).
